Setting Up Tuition Plans

Configure your center's billing rates, program schedules, and tuition structures to streamline invoicing and payments.

1. Billing Overview

KidsDaily's billing system allows you to create tuition plans that can be assigned to families. Navigate to Billing → Plans to manage your tuition structures.

Note: The billing feature requires Stripe integration. Make sure you've connected your Stripe account in Settings before setting up billing plans.

Billing Plans

Define tuition rates and billing cycles.

Program Templates

Define schedules (full-time, part-time, etc.) with default days and hours.

School Years

Define academic periods for billing cycles.

2. Program Templates

Program templates define the schedule and base rates for different attendance patterns. Go to Schedules to manage program templates.

Creating a Program Template

For each template, configure:

Name & Description

E.g., "Full-Time (5 days)" or "Part-Time (3 days)"

Default Days

Which days of the week are included (Monday-Friday, MWF, etc.)

Default Hours

Standard drop-off and pickup times

Weekly Contracted Hours

Total hours per week included in the plan

Base Rate

The base tuition amount for this program

3. Rate Configuration

Set up your tuition rates based on how you bill families:

Monthly Rate

Fixed monthly tuition regardless of days in the month.

Weekly Rate

Charge per week of attendance.

Daily Rate

Charge per day, useful for drop-in care.

Tip: You can create multiple plans for different age groups or program types. For example, infant care typically costs more than preschool due to ratio requirements.

4. Late Fee Settings

Configure automatic late pickup fees to encourage on-time pickups:

Grace Period

Minutes after closing before fees apply (e.g., 5 minutes).

Late Pickup Rate

Amount charged per minute or per 15-minute block.

After-Hours Rate

Higher rate for significantly late pickups.

Minimum/Maximum Fees

Set floor and ceiling amounts for daily late fees.

Important: Enable "Auto-post to billing" if you want late fees to be automatically added to the family's next invoice. Otherwise, you'll need to add them manually.

5. Assigning Plans to Families

Once your tuition plans are configured, assign them to families:

  1. Go to the family's profile or enrollment contract
  2. Select the appropriate tuition plan
  3. Customize if needed (different rates, discounts, etc.)
  4. Set the billing start date
  5. Save the assignment

Contracts

Use Billing → Contracts to create formal enrollment agreements that tie together the child, family, program, and tuition plan. Contracts help track enrollment terms and billing commitments.

Discounts

Need to apply sibling discounts or special rates? Go to Billing → Discounts to create reusable discount rules that can be applied to family invoices.
