Reviewing Daily Reports

Ensure quality and completeness of daily reports before they're sent to parents. Learn how to review, edit, and manage report delivery.

1. Reports Dashboard Overview

Navigate to Reports in the admin sidebar to access the daily reports dashboard. Here you can see all reports for any given day.

Navigation Controls

Date Selection

Use the date picker or Previous/Next buttons to view reports from different days.

Classroom Filter

Filter to see reports from a specific classroom.

Stats Cards

The dashboard shows:

  • Total Children - Children who attended that day
  • With Reports - Children who have reports created
  • Draft - Reports still being edited
  • Sent - Reports delivered to parents
  • No Report - Children without any report yet

2. Understanding Report Status

Each daily report has a status indicating where it is in the workflow:

Draft

Report is being created or edited by staff. Not yet visible to parents.

Sent

Report has been finalized and delivered to parents.

Tip: Parents cannot see draft reports. Take your time to ensure accuracy before sending.

3. Reviewing Report Content

Each daily report typically includes the following sections:

Meals

Breakfast, lunch, and snacks - what was served and how much was eaten.

Naps

Sleep times and duration.

Diapers/Bathroom

Diaper changes or bathroom visits.

Mood

How the child felt throughout the day.

Activities

What activities the child participated in.

Notes

Any special notes or observations from staff.

Expanding Report Details

Click on any report in the list to expand it and see the full details. You'll see who generated the report, when it was sent, and through which delivery channels (email, push notification, etc.).

4. Quality Checks

Before sending reports, review them for:

Completeness
  • Are all required sections filled out?
  • Are meal and nap times recorded?
  • Are there any blank fields that should have data?
Accuracy
  • Do the times make sense?
  • Is the information consistent with attendance records?
  • Are notes appropriate and professional?
Tone
  • Are notes written in a positive, professional tone?
  • Is sensitive information handled appropriately?
  • Are there any spelling or grammar errors?

5. Sending Reports to Parents

Once you're satisfied with a report, it can be sent to parents.

Delivery Channels

Reports can be delivered through multiple channels:

  • Email - Full report sent to parent's email
  • Push Notification - Alert sent to the parent app
  • Portal - Always available in the parent portal

Bulk Sending

At the end of the day, you can send all completed draft reports at once rather than sending them individually. This ensures all parents receive their reports at the same time.

Note: Once a report is sent, parents can see it immediately. While you can still make edits after sending, parents will see those changes in their portal. Always double-check before sending.
