Managing Check-Ins

Monitor daily attendance, track check-in and check-out times, and ensure accurate attendance records for your center.

1. The Attendance Dashboard

The Attendance page provides a real-time view of who's at your center. Access it by navigating to Attendance in the admin sidebar.

Dashboard Features

Date Navigation

Use the calendar picker or Previous/Next buttons to view different days. Click "Today" to jump to the current date.

Classroom Filter

Filter attendance by specific classroom or view all classrooms at once.

Stats Cards

At the top of the page, you'll see summary stats:

  • Total Children - Number of enrolled children expected
  • Checked In - Currently at the center
  • Checked Out - Have arrived and left for the day
  • Not Present - Haven't checked in yet or reported absent

2. Check-In Methods

KidsDaily supports multiple ways for children to be checked in:

Mobile App (Staff)

Staff can check in children using the KidsDaily Staff app. This is the most common method.

Kiosk Mode

Parents can check in their own children using a tablet kiosk at your entrance.

Admin Dashboard

Admins can manually record check-ins from the web dashboard.

Tip: The check-in method is recorded with each attendance entry, so you can see how each child was checked in (mobile_app, kiosk, manual, etc.).

3. Monitoring Daily Attendance

The attendance table shows detailed information for each child:

Child Name

Click to view the child's full profile.

Classroom

The classroom the child is assigned to.

Status

Present (checked in), Left (checked out), or Not Present.

Check-In/Out Times

The exact time and which staff member performed the action.

4. Handling Late Arrivals

Children who arrive after their scheduled time are flagged as late arrivals. To manage late arrival settings:

  1. Go to Settings → Organization
  2. Set your center's opening time
  3. Configure a grace period if desired
  4. Late arrivals will be highlighted in the attendance view

Note: Late arrivals don't automatically trigger fees. If you have late arrival policies, you'll need to handle billing separately through the invoicing system.

5. Check-Out Process

The check-out process is just as important as check-in for maintaining accurate attendance records.

Check-Out Requirements

Authorized Pickup

Only authorized individuals can pick up children. Staff should verify ID if needed.

Signature (Optional)

If enabled in settings, parents may need to sign out their child.

Parent Notification

Parents automatically receive a notification when their child is checked out.

Late Pickups

When children are picked up after your center's closing time, KidsDaily can:

  • Flag the pickup as late
  • Calculate late fees automatically (if configured)
  • Send notifications to administrators
  • Track late pickup history for compliance reporting
